When a stockroom system, an accounting system and a sales system each holds their own "stock figure", they disagree. ProdSys solves the problem at the source: there is one stock figure, and it updates the moment a goods receipt is registered, a pick is confirmed, or a production order consumes a component. Sales reps, planners, buyers and the warehouse team read from the same record.

Live quantity on hand, in transit, reserved against orders, and available to promise — per item, per warehouse, per batch. Sales reps quote with accurate stock; planners plan against reality.

Run as many locations as you need. Stock at each is tracked independently, and transfers between warehouses move quantities with full audit trail. No double-counting, no manual reconciliation.

Min/max replenishment
Set minimum and maximum stock levels per item per warehouse. When stock drops below the minimum, ProdSys flags it for replenishment — and MRP turns the gap into a purchase suggestion automatically.

Batch & serial tracking
Full traceability per batch number and per serial number. Trace forward: which customers received this batch? Trace back: where did this component come from? Certificates per batch are stored and linked.

Run rolling cycle counts during normal operations, or full stocktakes when needed. Mobile-based counting with barcode scanning, variance reporting and approval workflow before adjustments are posted.

Mobile barcode workflows
Goods receipt, picking, packing, stock transfers and cycle counts all run from a phone or tablet with a barcode scanner. The warehouse team works on the floor — not in front of a desktop.
Inter-warehouse transfers
Move stock between locations with a documented transfer order: requested, picked, in transit, received. Quantities update at both ends in real time, and the transfer history stays available for audits.

Reservations against orders
When a sales order or production order is confirmed, the required quantities are reserved against specific stock. Available-to-promise reflects reservations automatically — you don't sell what's already committed elsewhere.

Choose FIFO or weighted average per item — ProdSys handles the cost layer automatically. Inventory valuation, COGS on every sale and production order margin all reflect the chosen method consistently.

How it flows in practice

The same stock record gets touched by procurement, the warehouse, sales, and production — without ever leaving ProdSys.

    07:30 — Goods receipt
    A pallet arrives at the Trondheim warehouse. The receiver scans the supplier's barcode on their phone, confirms quantity and batch number, and snaps a photo of the packing slip. Stock updates immediately — and the purchase order is matched and ready for invoice approval.

    09:15 — Sales order, available-to-promise
    A salesperson enters a new order. ProdSys shows 240 units available across two warehouses — minus 60 already reserved for a project. The system reserves the required quantity from the closest location and confirms a delivery date.

    11:00 — Production consumes components
    An operator on the shop floor finishes a job. ProdSys consumes the BOM components against the production order — quantities and FIFO cost layers decrement in real time. Margin on that order is calculated the same shift.

    14:30 — Min level hit, MRP suggests purchase
    Stock of component 1042-S drops below its minimum level at the Bergen warehouse. ProdSys flags it; MRP combines current stock, open orders and reservations, and generates a purchase suggestion to the preferred supplier — ready for the buyer to approve.

    16:00 — Cycle count, no surprises at year-end
    A warehouse team member runs the daily cycle count on aisle B. Three minor variances are flagged for review; the supervisor approves them before posting. By the time year-end stocktake arrives, the inventory is already accurate — no all-night reconciliation.

Low stock triggers purchase suggestions automatically. MRP nets current stock, open POs and reservations to produce a realistic procurement plan — not a list of items already on their way.
↔ Sales & available-to-promise
Sales reps see live availability when quoting. Confirmed orders reserve stock from the right warehouse, with delivery dates that reflect what's actually on hand or scheduled to arrive.
↔ Production & BOM consumption
Production orders consume BOM components from stock as work progresses. Post-calculation reflects real material costs, not estimates — so margin per finished product is accurate the day the job ends.
↔ Accounting & valuation
Inventory valuation flows to your accounting system on the chosen costing method. Goods receipts, COGS and adjustments all post to the right ledger accounts automatically.
Shipping & freight

From stock to your customer's door

Once goods leave the warehouse, ProdSys hands off to a freight platform that connects to all major carriers. Norwegian customers use Cargonizer from Logistra; in other markets we build similar connections.

Shipments from sales orders
A shipment is created directly from one or more sales orders. Consignee, sender, package count, weight and dimensions flow through automatically — no re-typing the address into a carrier portal.

One platform, every carrier
In Norway, the Cargonizer integration (from Logistra) routes to Bring, PostNord, DHL, UPS, Schenker, Helthjem and more — chosen per shipment. One integration, every carrier your customer expects.
Tracking & cost back to ProdSys
The freight platform returns tracking numbers and actual freight cost. Tracking is attached to the customer's order; cost flows into post-calculation so you see the real margin per delivered order.

For markets outside Norway we build equivalent integrations with the local freight platform of choice. Same pattern: ProdSys owns the order and the shipment data; the freight platform owns carrier connectivity.

Not the right fit if…
  • You are a third-party logistics (3PL) provider running warehouses on behalf of multiple shippers
  • You are a transport or freight forwarding company — ProdSys is not a transport management system (TMS)
  • You need a tier-1 WMS for fully automated warehouses with WCS-level robotics control
  • You need slotting optimisation, wave-pick algorithms or other advanced WMS features
  • You need customs brokerage, freight rating, or carrier tendering as core features

If you fall in the "not the right fit" column, we won't pretend otherwise. We are an integrated ERP and MES with strong inventory built in — that's a different shape of product than a standalone WMS or TMS.
